Job Description

This company is looking for an an ambitious and forward-thinking Executive Personal Assistant to join our growing team to support their executives in executing their duties at Ellesmere Port and Warrington.

As part of this role, you will support the Executive Vice Presidents for Finance and Client Services, Strategy & Communications including managing emails, calls, visits etc by drafting responses and redirecting as appropriate to ensure time is managed to best effect.

You will also assist with meetings and workshop organisation, including collation of papers / reports in advance of meetings, and recording notes / actions from the meetings for distribution and follow up to co-ordinate the communication of schedules, plans and deadlines on behalf of the Executive Vice Presidents.

Roles and Responsibilities
  • Co-ordinating full travel and itinerary arrangements for the Executive Vice Presidents
  • Assisting in the creation of the annual planning and monthly reporting – including detailed reports to communicate our progress on strategy and work winning activities.
  • Co-ordinating management information, document libraries and ensuring that appropriate files and information are available in a structured manner.
  • Communicating with a wide variety of stakeholders and building sustainable internal and external relationships at every level in the organisation.
  • Co-ordinating and arranging events on behalf of the Executive Vice Presidents.
  • Attending and providing minute taking and distribution service for key meetings as required.
  • Co-ordinating and validating data provided by both internal and external colleagues into robust and accurate.
  • Completing personal expenses for the Executive Vice Presidents.
  • Authorising expenses for the direct reports of the Executive Vice Presidents.
Experience Required
  • Previous experience in a similar role providing PA or secretarial support to at an executive level
  • Proficient knowledge of Microsoft Office and appropriate programmes
  • Ability to present and communicate information in a clear, confident, and professional manner
  • Excellent organisational skills and an ability to manage and prioritise competing priorities to schedule, organise and manage administration related to business activities
  • Ability to work at pace with accuracy and prioritise workload effectively
  • Strong communication skills and an ability to build relationships with a wide range of stakeholders including communicating at senior and junior levels
  • Ability to work accurately and efficiently under tight deadlines and pressure
  • High level of tact and ability to respect confidential information
  • Ability to work flexibly and meet varying requirements of team
